Success in the role requires effective co-ordination of project administration tasks in conjunction with Project Managers, fellow Project Administrators and colleagues from across the business.

The role will involve providing administrative support to a variety of projects. The responsibilities within the project may include:

  • Taking responsibility for travel bookings, travel itineraries, meeting co-ordination, equipment and other purchases relating to the project and similar administration tasks
  • Supporting presentation preparation, workshop preparation and writing up notes from workshops, when required
  • Completing all relevant proposal/project opening and closing procedures (including archiving)
  • Maintaining project databases and Design History Files
  • Project-related filing e.g. project-related documents and items received from clients
  • General administrative support to project teams and project managers
  • Carrying out all other administrative, or relevant tasks, as a member of the project management team within a fast growing company

For a candidate with less work experience, there is an opportunity to receive training and coaching and to learn how medical devices are designed and developed.

Qualifications and Skills


  • Good level of academic achievement to A Level
  • Good level of administrative skills
  • Strong written and verbal communication skills
  • Experience of working in a fast-paced company requiring diligence and accuracy
  • Excellent organisational skills and attention to detail
  • Able to work effectively in close collaboration with other project administrators and members of project teams
  • Highly experienced user of Microsoft Outlook and Microsoft Office, specifically, Word, Excel (including basic formulae) and PowerPoint
  • Numerate and familiar with basic financial documentation e.g. purchase orders, invoicing
  • Ability to work with clients and suppliers


  • Project administration in a consulting or services environment
  • Experience in an environment with a Quality Management System
  • Familiar with SharePoint
  • Ability to manage complex document flows
  • Ability to work on a number of different projects or tasks at any one time, manage own time effectively and manage conflicting priorities
  • Capable of supporting planning and costing activity and monitoring project budgets and activities against project plan
  • Experience in using advanced planning, visualisation and presentation tools, e.g. MS Project, MindManager, Visio
